Outreach Trainer Portal Instructions

Announcing the new OSHA Outreach training portal!

With the change in OSHA Outreach cards all currently authorized Outreach trainers will need to register with the new online training submission portal located here.

We recommend that users do not use Internet Explorer.  The site works best with the freely available Google Chrome browser.

Upon their first visit trainers will need to register with the site:

The system will require trainers to login using their email and password every time a program report is submitted (so please make note of registration information):

After successfully registering for the site trainers will have to be approved by the EKU OTIEC site administrator.  Please allow time for the EKU OTIEC staff to review each registration and verify current authorization status.  Trainers will be sent an email when their account is activated:

Once account activation has occurred trainers will need to return to the login screen and enter their information:

Upon logging into their account authorized trainers will see the following user interface.  To begin submittal of a new training report select a report type by clicking on it:

After selecting a program report, trainers will be taken to a web form where their Outreach training information can be entered.  Take note that the web form follows the same format as the traditional program report and is subject to the same general industry or construction specific procedures. For example, the web form will allow trainers to report classes with fewer than 3 students or more than 40 students, but trainers are still subject to the requirement to request exceptions in advance to their authorized training organization (EKU):

Block 12 is where trainers will enter the dates and times of their Outreach training.  Take note that there is originally only one date block.  The 7.5 contact hour per day rule still applies so please click the "Add Another Date" button to add as many additional training dates as are required to accurately report the training:

As a convenience to our trainers, the number of students reported in block 9 must match the number of names submitted in block 16.  Please note that the student name data entered in block 16 will be exactly what is printed on the new Outreach Student Course Completion Cards.  Review the spelling and capitalization of names closely prior to submitting the report. Corrections will be subject to a replacement fee. Trainers will input their training contact hour information in block 15 just as they would on the old paper submittal forms.  Please use the following format for block 15: 1 = 1 hour, .5 = half hour, .25 = 15 minutes

When the report is completed hit the submission button at the bottom of the page:

If the report is received successfully, two pop up windows will appear.  It is recommended to turn any pop up blockers off while using the portal. One window will offer a printer friendly version of the program report submitted, trainers are still required to keep copies of the program report so print a hard copy.  The other window will open to the store front for purchasing student completion cards at the new $8/card rate.  Simply enter the quantity of cards reflected on the program report and complete the purchase online.

Finally, as a courtesy to our trainers, the user menu offers trainers the opportunity to review any previous Outreach training submissions.  Trainers may view any program report submitted to EKU after March 1, 2016 via this option.

Under the new Outreach card system all student cards will be electronically verifiable.  A QR code located on the back of the Outreach card will take users to the following site:
If a card number is entered the user will discover the student name, trainer name, course type, and course end date for the Outreach training.  This feature discourages fraud and gives the new cards more credibility.
